This notice describes how Singaporeaitools handles personal data collected through this website and during ordinary advisory contact. It is written for people who write to us, not as a substitute for a contract on a paid engagement.

This notice is general information about our website and first contact. A paid engagement may have a scoping note with extra terms for sample files. Where those terms are tighter, they apply to that work. This page does not constitute legal advice.

What we collect

Data from this site and from mail

If you use the form on the overview or contact page, we receive your name, work email, organisation, the text of your message, the time of sending, and the page you sent it from. We ask you not to paste customer files or identity numbers into that form. If you telephone or email us directly, we receive whatever you choose to include in that conversation.

Server logs on shared hosting may include internet protocol addresses, browser type, and the pages requested. We use those logs to keep the site running and to diagnose faults. We do not use them to build a marketing profile. We do not sell personal data. We do not run advertising networks on this site.

If you accept or decline cookies, we store that choice in your browser under the key described in the cookie notice. That key is not sent to us as a tracking identifier. During a paid engagement we may receive sample documents you provide under a scoping note or a non-disclosure agreement. We take the smallest sample that still lets us see the work, and we delete working copies at close-out unless you ask us in writing to retain a defined set.

Why we hold it

Purposes and keeping

We use enquiry data to reply, to propose a first conversation, and, if you proceed, to prepare a scoping note. We use hosting logs to operate and secure the site. We use engagement samples only for the work described in the scoping note. We do not use your content to train a public model, and we do not load client files into a public chatbot to see what happens.

Enquiry mail is kept for up to twenty-four months after the last useful contact, unless you ask us to delete it sooner and we have no duty to retain it. Hosting logs follow the host’s ordinary rotation, typically a short number of weeks. Signed scoping notes and invoices are kept for the period needed for ordinary business records in Singapore. Sample files follow the deletion rule in the scoping note.

Sharing

Who else may see data

Mail is sent to [email protected]. Hosting sits on shared infrastructure in Singapore. If we use a mailbox or office suite provided by a processor, that processor sees the data needed to deliver the service. We do not share enquiry data with software vendors in order to obtain a commission, because we do not take commission.

We may disclose information if required by law in Singapore, or if we must protect a person from serious harm. We do not publish client names, logos, or testimonials on this site. Illustrative scenarios on the overview page are composites and are labelled as such.

Your choices

Access, correction, and contact

You may ask what personal data we hold about you from website enquiries, ask us to correct it, or ask us to delete it where we have no duty to keep it. Write to [email protected]. We may need to confirm it is you before we act. If your request concerns a live incident involving other people’s data, say so in the first line so we handle it with extra care.

The Personal Data Protection Act (PDPA) in Singapore sets out duties for organisations that handle personal data. This notice is how we describe our website practice in ordinary language.
