Most organisations need a clear view of a messy situation that has already started. These four patterns cover most first conversations.
Directors have read the same headlines as everyone else and now want a paper. The risk is a document that lists tools without naming owners, data, or the decisions those tools would touch. We help you write a short strategy a working team can run over the next twelve months.
Teams have already bought chat assistants, meeting notes, and a drafting tool. Finance can see the invoices. Nobody can see which accounts exist, which documents have been pasted in, or whether a vendor trains on that material. We map what you pay for and what should pause, stay, or sit under a written rule.
A vendor showed a clean question-and-answer demo on a handful of sample PDFs. Your own contracts, emails, and scanned forms are messier. Retrieval-augmented generation, which means searching your documents before the model answers, fails when titles, versions, and access rights are unclear. We look at the documents first, then at the model.
Your lawyer, or a privacy officer, wants to know which personal data under the Personal Data Protection Act (PDPA) is sent to an external service. The question often arrives after a pilot has already begun. We help you answer it in writing, with a picture of flows you can show to counsel.

Cadence
The shape is simple. You know what you are buying, what you will hold, and when the work ends.
We ask how the work is done today, who feels the pain, and what a useful next quarter would look like. You leave with a short written recap even if you decide not to continue. There is no slide theatre and no obligation to buy a review on the call.
If the conversation points to a useful engagement, we send a scoping note. It names the questions, the people we need to speak with, the documents we hope to see, the fee, and the date we expect to finish. You can amend the note before anyone diaries interviews.
We speak with the people who run the process, walk through sample files, and, where a tool is already in play, sit through a trial on your material. Weekly notes keep the sponsor current.
You receive a written findings note and a working session to walk through it. The note states what to do first, what to delay, and what we would decline.
Controls
If staff already paste customer text into a public chatbot, waiting for a later governance workstream stores risk. The Personal Data Protection Act (PDPA) asks you to know what personal data you hold, why you hold it, and who you disclose it to.
Singapore’s Infocomm Media Development Authority publishes a Model AI Governance Framework for Generative AI that anyone can read. It is a public guide. We use it as shared vocabulary for transparency, data, and incident response, and we help you pick which AI Verify tests are worth running on a first use.
On the ground this means an acceptable-use policy staff can actually read, and human-in-the-loop rules: a person reviews or owns the decision where a wrong draft would cost more than the time saved. Read how we approach governance.

A regional trading firm of a few hundred people had meeting-note tools in sales, a writing assistant in marketing, and a chatbot on a warehouse laptop. We mapped vendors, data types, and owners, then proposed one acceptable-use rule and two uses worth a supervised trial.
Partners wanted a board paper before the next planning cycle. Interviews showed the bottleneck was versioned contracts sitting in personal drives. The note recommended document hygiene first, then a drafting assistant with a lawyer in the loop.
A demo on tidy PDFs looked convincing. Live files were scans, forwards, and three naming schemes. We paused model tuning and spent the weeks on access rights, titles, and a small gold set of questions the team already answered by hand.

Do you sell software or take a vendor commission?
No. Singaporeaitools is paid only for advisory work. If a tool is a poor fit we will say so, including tools you already pay for.
Will you write production software for us?
No. Your team, or a builder you appoint, writes and runs the system. We advise on design, tests, and whether the pilot is teaching a useful lesson.
Can you guarantee a percentage of savings?
No, and we will not put a made-up figure in a slide. We help you pick measures before a pilot so you can judge the result yourselves.
